Currency and exchange rate clause for freelancers

A currency clause for international clients: which currency you're paid in, who bears conversion and transfer fees.

Currency and exchange rate clause: copy and adapt

All fees are stated and payable in [currency]. Any bank, transfer or currency conversion charges are borne by the Client, so that the Provider receives the full invoiced amount. Where the Client pays in another currency, the amount received must equal the invoiced amount at the exchange rate on the date of receipt.

When to use it

Whenever the client is in another country or pays in another currency. Without it, transfer fees and exchange swings quietly come out of your fee.

Variants by trade

Fixed exchange rate

For this project the exchange rate is fixed at [1 USD = 0.92 EUR]. If the rate moves by more than [5]% before an invoice is issued, either party may request the invoice be restated at the current rate.

Card payments

Payments by card are processed in [currency]; card and conversion fees charged by the Client's bank are the Client's responsibility.

Frequently asked questions

Should I invoice in my currency or the client's?

Your own, if you can. Invoicing in the client's currency moves the exchange risk to you; if you do it, price that risk in.

Who pays international transfer fees?

Whoever the contract says. If it says nothing, fees are usually deducted before the money reaches you.
