Wedding photographer client questionnaire

Wedding days run on a timeline you only get once. These questions give you names, places and must-have shots before the day, so nothing depends on memory at 4pm in a field.

When to send it: Right after the contract is signed and the deposit is paid, then again 4 weeks before the date for the final timeline.

The couple

  1. 1.Your full names, and the names you actually use with each other.
  2. 2.How did you meet, and what should the photos feel like: candid, editorial, classic, documentary?
  3. 3.Is anything off limits: angles, scars, a family situation I should handle with care?

The day

  1. 4.Date, ceremony venue and reception venue, with addresses.
  2. 5.Getting-ready locations for each of you, and the time I should arrive.
  3. 6.Ceremony start time, and is it religious or civil? Any photography rules at the venue?
  4. 7.Sunset time at the venue, and would you like a 15-minute golden-hour session?
  5. 8.Planned moments: first look, speeches, first dance, cake, sparkler exit, surprises?

People and shots

  1. 9.List the family group photos you want, in order, with one name per group to round people up.
  2. 10.Who are the key people (grandparents, best friends, children) I should not miss?
  3. 11.Your planner or day-of coordinator: name and phone number.
  4. 12.Other vendors I will work alongside: videographer, DJ, florist.
  5. 13.Three photos you have seen and loved (links), and one style you do not want.

Budget, timing and decisions

  1. 14.What budget range have you set aside for this?
  2. 15.Is there a hard deadline, and what happens if it moves?
  3. 16.Who else needs to approve the work or the contract?
  4. 17.How would you prefer we communicate (email, calls, messaging), and how often?
  5. 18.How did you hear about me?

Questions about client questionnaires

When should a wedding photographer send a client questionnaire?

Right after the contract is signed and the deposit is paid, then again 4 weeks before the date for the final timeline.

Can I edit these questions?

Yes. Copy them, remove what does not apply and add your own. Shorter questionnaires get answered faster: keep only the questions whose answers change your price, your plan or your contract.

Should the questionnaire come before or after the contract?

Questions that affect price and scope belong before the proposal; the detailed ones (names, timelines, access) work best right after signing, when the client is committed and expects them.

How do I send it with Clinch?

Create a free Clinch account, paste the questions, and send them with your proposal or contract. Your client answers from their phone without an account, and the answers are saved on the client's record.
